The International Center for Research on Women (ICRW) is an organization comprised of international development professionals – researchers, policy specialists and program managers committed to the creation and sharing of the needed tools, approaches and techniques that will serve as catalysts for change for women worldwide. ICRW currently seeks a Senior Administrative Assistant.

Primary Role: Reporting to the Director, Office of the President, the Senior Administrative Assistant (“Senior AA”) will be responsible for providing complex and routine administrative support to the Office of the President. The Senior AA serves as the initial contact with the Office of the President, as well as provides administrative support to the Director as requested. The Senior AA will manage the President’s schedule for both internal and external engagements. The incumbent will provide administrative support for board meetings, meetings chaired by the President or as requested, and manage the coordination of meetings, materials, and activities as needed. The Sr. AA will plan, schedule and organize all travel commitments. S/he will be responsible for properly maintaining central, chronological and alphabetical files. As directed, the incumbent will also assist with the preparation of drafts and finalize correspondence and reports.

Principal Responsibilities and Tasks:
• Maintains task lists, work plans, and internal and external appointment schedules.

• Maintains the President’s calendar; provides inputs to the Institutional Calendar as directed.

• Drafts routine correspondence and performs fax and filing functions as needed.

• Schedules and provides support for travel, meetings, and events as needed, and prepares invoices and expense reports.

• Formats, edits, revises, and sends reports on behalf of the President and Director, and other correspondence.

• Provides assistance and takes minutes for institutional meetings, teams or task forces as needed.

• Handles all filing for the Office of the President.

• Performs other duties as assigned.

Education: Bachelor’s degree or equivalent in related field.

Experience: A minimum of five (5) years general business experience to include 2 years of experience supporting executive level staff.

Skills:
• Strong written and oral communication skills required with demonstrated ability to draft and edit correspondence from inception or from notes from discussions with the President or the Director.

• Strong interpersonal skills essential with the ability to interact with tact and diplomacy with a wide range of individuals, including staff, board members, donors and partner organizations.

• Computer literacy required with a demonstrated proficiency in the MS Office Suite (e.g. Outlook, Word, Excel, PowerPoint), as well as other internet-based applications.

• Ability to handle sensitive and confidential data and information with discretion is essential.

• Must be self-directed and able to manage workload with minimal supervision, using excellent organizational skills and detail orientation to work on multiple tasks simultaneously and meet concurrent deadlines and commitments.

• Must be resourceful with a demonstrated ability to solve problems and find alternative solutions as needed.
